There are two main steps involved in claiming online. The first step is preparing the batch for transmission and the finally sending the files to Medicare.
Files are prepared in the Batch Handler and sent online through the Comms Centre.
How to open the Batch Handler
To open the Batch Handler go to the main menu.Click Patient and BatchHandler from the left side of the screen.
The Select Doctor or Batch screen will appear.
By default the list of doctors displayed are only active doctors. If you want to see all doctors, including doctors inactive just remove the list from Only Active Doctors at the top of the screen.
Either click on the name of a doctor in the list so that it is highlighted or enter a BatchNumber in the field below.
Click OK to open the Batch Handler or Cancel to discard any changes and return to the previous screen.
The Batch Handler
The Batch Handler shows the claim batches and batch status for a single doctor. Its used to prepare transactions for transmission to Medicare or health insurance companies. As you prepare the batch for processing eClaims does a series of checks to identify common errors and give you the opportunity to correct these errors before sending the claim online.
Click on the batch so that it is highlighted. The initial batch status is always current (CUR).
Click Close to close the batch so that no new data can be added to the batch.
The Select Service screen will appear, choose the service type to close.
Batches are composed of only one Service Type. Service Types are displayed on the far right column under the heading SÂ and they are Medicare, Immunisation, Veterans or Private.
A message will appear Do you want to close the current batch?
Select Yes to continue or No to cancel.
The status of the batches will now be changed from CUR to CLS. Once the batch is closed no additional vouchers can be added to the batch.
If you want to see the details of a batch just double click on the batch or highlight it with the mouse and click View at the bottom of the screen to see more details. For more information refer to Batch Detailsand Voucher Details.
Now that the voucher is closed you can review the transactions to confirm that they are all correct. Click Assi to do the final checks and prepare the file to be sent to Medicare. Click OK to start the assignment process.
Batch Assignment is done individually. Each batch is verified for data integrity online and a report can be printed with the batch details.
The Batch status Sts will now change to be SND and it is ready to be sent online.
The final step is to transmit the data online. It is possible to close batches at different times during the day but it’s recommended that the final step of transmitting the data online be completed at the end of the day.
Comms Centre
The Comms Centre transmits and receives data related to online claims. To open Comms Centre go to the main menu, click Patient and CommsCentre from the left side of the screen.
Once the transactions have been closed and assigned to send status (SND) the final process is to send the claim electronically for processing.
Click Patient and Comms Centre from the main menu.
When you first open the Communications Centre the SendFiles tab will be active.
Click OK to send the data online for all claims or Cancel to close this screen and return to the previous screen.
The Transmission Summary screen displays all batches that have been assigned ready to send (SND) in the batch handler.
Select the batches that you want to transmit. Either highlight the entry and click Tag at the bottom of the screen or double click the column under     to select the batch.
Alternatively click TagAll to select all batches. If want to deselect an item just double click on the tick or highlight the batch and click Tag.
Click Star Tx to start transmission and send the transactions online.
Do you want to process above batches? Click Yes to continue or No to cancel.
A message will be displayed at the top of the screen Transmission complete. The status of the batch will now be changed to E_S (Electronically Sent).
