Error 9201 / 9302

Error can occur in the batch handler when assigning a batch. The cause of the error is that the patient’s Medicare reference number is incorrect.

2 errors will appear. The first error is

Error Code: 9201

Error Description. Invalid format for data item.

Each batch can contain up to 80 vouchers and we need to identify which patient record is incorrect.

There are two ways to resolve this issue. You can go to the patient record and do an OPV (Online Patient Verification).

If there are a large number of patient records you can move some of the items out of the batch and try assigning them in separate groups. Usually there is only one record that is affected by this error.

How to open the Batch Handler.

 

Left click on the batch so that it is highlighted and click View at the bottom of the screen or double click on the batch to see the Batch Details screen.

A line is displayed for each invoice. Left click on a line so that it is highlighted and click Move at the bottom of the screen to remove the invoice from this batch and place it in the current batch.

 

Hotkeys can speed up this process. Once the invoice is highlighted click M on the keyboard for Move and Y for Yes.

 

Move about half of the items to the current batch and try to assign the batch again. If the error occurs go to the current batch and close/assign the batch in the usual manner.

 

Once the number of patients has been reduced to a manageable level go to the patient record and perform an OPV (Online Patient Verification) to verify that the Medicare number and reference number are correct. Once the patient record has been corrected it’s necessary to assign the batch before transmitting the details to Medicare
